The operational reality

What owners and practitioners actually ask.

Is this HIPAA compliant? +

HIPAA compliance is a property of your whole organization, not of a tool, so no vendor can hand it to you and we will not claim to. What we do is design the system so protected health information stays out of scope wherever possible: the agent handles scheduling and logistics, clinical detail is collected inside your own covered systems, message content is limited, and retention is minimized. Where a covered entity needs a business associate agreement with a processor, that has to be in place, and we will map exactly where PHI touches the system before anything goes live.

Can the AI answer questions about a client's treatment or program? +

No, and it should not. We scope agents to logistics — booking, rescheduling, hours, pricing, membership status, class availability, preparation instructions — and to escalate anything clinical to a practitioner. That boundary is enforced in the agent design, not left to the model's judgment, because a system that improvises health advice is a liability rather than an asset.

Will this reduce no-shows? +

It addresses the causes rather than just sending more reminders. Confirmations and reminders go out on a timed cadence, cancelling is made easy so people release a slot instead of ghosting, released slots are offered to the waitlist automatically, and repeat no-shows are flagged so a person can intervene. Easy cancellation feels counterintuitive, but a released slot you can refill is worth far more than a silent empty one.

We use a studio management platform for booking. Does this replace it? +

No. Your booking platform stays the source of truth for schedules, memberships and payments. The agent sits in front of it and reads live availability, then writes bookings, cancellations and waitlist moves back through the platform's API. If your platform is genuinely closed, we will tell you in the audit and show you what is and is not possible around it.

Our front desk is busy with membership questions. Can it handle those? +

Most of them, yes. Hours, class schedules, pricing tiers, freeze and cancellation policies, billing dates, guest passes and what to bring to a first session are the bulk of the volume and are all answerable from your own documented policies. Anything involving a refund, a dispute or a discretionary exception routes to a human with the context already gathered.

Will automated messages feel cold to our members? +

They do when they are written badly, which is why the copy is written for your studio rather than pulled from a template. Tone, name usage, timing and frequency all get tuned, and there are limits on how often anyone is contacted. The intent is that members get faster answers and fewer wasted trips, not more marketing.
